Registration is the first test of an AGM. We set up separate desks, for example by name range or folio, so queues move quickly. Badges identify members, proxies and invitees, and attendance sheets are available for the company secretary to use. Seating is arranged so that the board, auditors and invited guests are clearly separated from members, and a reserved area is provided for senior citizens and those who need assistance.

In a formal meeting, everyone must be able to hear the chair and the person asking a question. We provide a podium microphone, a panel table with microphones, and runner microphones for the audience, along with speakers placed to avoid echo. Screens display the agenda, resolutions and presentations. If the proceedings are to be recorded, we arrange audio or video recording and hand over the files.
