The annual function is the one day when a school, college or company celebrates itself. Students perform in front of proud parents, teachers receive recognition, and employees enjoy a break from routine. It is also the day when things most often go wrong – a microphone fails, a performance runs late, or the seating for parents turns into a crowd. Real Vision Events & Conference Services organises annual functions in Odisha so that the day feels celebratory for the audience and manageable for the people responsible for it. We have been planning events since the year 2000, and annual days are among the programmes we understand best.
Our work covers the entire event: concept and theme, stage and sets, sound and lighting, LED screens, anchors, choreographers, rehearsal schedules, guest management and technical control on the day.

Theme and programme design. A theme gives the day a shape – it might be a cultural journey, a story from history, a tribute to a subject or a simple “celebration of talent”. We help you build a programme flow that balances performances of different lengths, keeps the audience engaged and leaves room for speeches and awards.
Stage and backdrop. The stage should be large enough for group performances, stable enough for dance and clearly visible from all seats. We design backdrops that suit the theme and can be changed between segments.
Sound and lighting. Performers need monitors, anchors need clear microphones, and the audience needs to hear music at a comfortable volume. Lighting is planned so that each item has its own mood and the stage transitions look smooth.
LED screens and video. Large screens show close-ups for those seated far away, run slideshows and display the names of award winners. They are especially useful in schools where parents want to see their child clearly.
Anchors and hosting. A skilled anchor keeps timing, introduces items, manages audience energy and covers gaps. We can provide professional hosts or coordinate with your teachers or students.
Choreography and rehearsals. We can arrange choreographers or coordinate with your dance and music teachers. A final rehearsal on the actual stage with sound and lights is scheduled so that children and performers feel confident.
Audience management. Seating plans, entry and exit routes, VIP areas, registration desks and volunteers help the crowd move without confusion.

| Time before event | Key actions |
|---|---|
| 8–10 weeks | Fix the date, budget and theme; shortlist a venue if the event is not on campus. |
| 6 weeks | Finalise the programme list; begin choreography and rehearsals; start invitations. |
| 3 weeks | Approve stage design, sound and light plan; prepare scripts, certificates and awards. |
| 1 week | Run costume and music checks; confirm seating, parking and volunteer roles. |
| Day before | Set up the stage and equipment; hold a full technical rehearsal. |
| Event day | Registration, show control and programme timing with a stage manager. |
When large numbers of children and families gather, safety is not optional. We plan clear exits, keep cables and equipment away from walking areas, and coordinate with your staff on crowd flow. For outdoor events, we consider shade, weather and drinking water. Seating is arranged so that aisles remain open, and special arrangements can be made for elderly guests and those with mobility needs.

Ideally eight to ten weeks before the event. That gives time to prepare choreography, rehearse, finalise the stage design and confirm technical arrangements. If you have less time, contact us and we will help prioritise what matters most.
Yes. We regularly set up stages, sound and lighting in auditoriums, playgrounds and campus grounds. We visit to check power, space and access before finalising the plan.
We can arrange them, or work with your own teachers and students. Many institutions combine student performances with a professional anchor to keep the show on time.
We build a detailed run-of-show with timings, allocate a stage manager, and ensure that performers are ready before their turn. Regular rehearsals and clear cues prevent delays.
With the correct stage height and LED screens or side monitors, yes. We consider the audience layout when designing the stage and screen positions.
It may include venue coordination, stage, sound, lighting, screens, anchors, entertainment, awards segment, hospitality coordination and on-site management. Each element can be added or removed to match your budget.
Yes. We plan entry points, registration counters, seating layouts and volunteer roles for gatherings of several hundred people. Larger numbers require more staff and time, which we include in the plan.
The date, venue, number of guests, programme outline, whether you need stage, sound, light, screens and hosting, and your approximate budget. With this we can prepare an itemised quotation.
